Privacy Policy
Effective and last updated: November 6, 2026
This Privacy Policy explains how Qortiva LLC ("Qortiva," "we," "us") collects, uses and protects information when you visit qortiva.com, contact us, or use our AI receptionist, automation and software services (the "Services"). Qortiva is a Michigan limited liability company based in Eaton County, Michigan.
The short version: we collect only what we need to respond to you and provide our Services. This website uses no cookies, no advertising trackers and no third-party analytics. We do not sell or share your personal information for advertising, and we never sell or share mobile phone numbers or text-message opt-in data with third parties for their marketing.
1. Information we collect
Information you give us
- Contact and demo requests: your name, business name, email address, phone number, the service you're interested in, your message, and whether you agreed to receive calls and texts.
- Calls, texts and emails with us: the content of your communications and related details such as your phone number and the time of contact.
- Customer account information: if you become a client, billing contact details, plan selection, and the business information you give us to configure your AI receptionist (services, prices, hours, calendar access and similar). Payment card details are handled by our payment processor; we do not store full card numbers.
Information collected automatically
Our website is hosted on Cloudflare. When you visit, Cloudflare's servers process technical data such as your IP address, browser type and the pages requested, in order to deliver the site and protect it from attacks. We do not use this data to build profiles or track you across sites. This site sets no cookies and loads no third-party scripts, fonts or analytics.
2. How we use information
- To respond to your inquiry, schedule demos and provide quotes.
- To provide, maintain, support and improve the Services you sign up for, and to bill for them.
- To send service messages such as confirmations, renewal reminders and important account notices.
- To send marketing calls or texts only if you have given consent; you can opt out at any time.
- To keep our website and Services secure, prevent fraud and abuse, and comply with legal obligations.
3. Text messages (SMS)
If you check the consent box on our contact form or otherwise opt in, Qortiva LLC may send you text messages about your inquiry and our services. Message frequency varies. Message and data rates may apply. Reply STOP at any time to opt out, or HELP for help; you can also opt out by any reasonable means, such as telling us by phone or email. Consent is not a condition of purchase. We do not sell, rent or share mobile numbers or text-message opt-in data or consent with any third party for marketing or promotional purposes. Text-messaging originator opt-in data and consent will not be shared with third parties, except with service providers that help us deliver messages to you.
4. Data we process for our clients
When a business uses our AI receptionist, we process information about that business's callers and customers (for example, names, phone numbers, addresses, call transcripts, call recordings if the client enables them, and appointment details) on behalf of that client. We act as the client's service provider: we use that information only to provide the Services to the client, under our agreement with them, and not for our own marketing. If you were a caller to one of our clients and have a question about your information, please contact that business directly; we will assist them in responding.
Our AI receptionist identifies itself as a virtual assistant by default. Where call recording is enabled, callers are notified at the start of the call.
5. How we share information
We share information only as needed to operate our business, with:
- Service providers who work for us under confidentiality and data-protection obligations, such as website hosting and security (Cloudflare), email, telephone and text-message carriers and platforms, AI speech and language model providers used to run the Services, scheduling and calendar integrations, payment processing and accounting.
- Legal and safety reasons: if required by law, subpoena or court order, or to protect the rights, property or safety of Qortiva, our clients or others.
- Business transfers: in connection with a merger, acquisition or sale of assets, subject to this Policy.
We do not sell personal information, and we do not share it for cross-context behavioral advertising.
6. Data retention
We keep information only as long as needed for the purposes above. Website contact requests that don't become clients are generally deleted within 24 months. Client account and billing records are kept for the life of the account and as required for tax and legal purposes. Caller data processed for clients is kept according to the client's settings and our agreement with them, and deleted or returned when the client relationship ends.
7. Security
We use reasonable administrative, technical and physical safeguards, including encrypted HTTPS connections, strict browser security headers, access controls and multi-factor authentication on our accounts, and limited employee access. No system is perfectly secure, but if a security breach affects your personal information, we will notify you and the appropriate authorities as required by law, including Michigan's Identity Theft Protection Act.
8. Your choices and rights
Wherever you live, you can ask us to access, correct or delete the personal information we hold about you, or to stop sending you marketing messages. Residents of states with consumer privacy laws (such as California, Colorado, Connecticut, Virginia and others) may have additional rights under those laws, and we will honor requests as those laws require. We do not discriminate against anyone for exercising their privacy rights. To make a request, email [email protected] or call (517) 500-3009. We will verify your request using the information we already have and respond within the time required by law, generally within 45 days. You may use an authorized agent where the law allows.
Global Privacy Control and Do Not Track: we do not sell or share personal information or track you across websites, so there is nothing to opt out of. We nonetheless treat a Global Privacy Control signal as a valid opt-out request.
9. Children's privacy
Our website and Services are intended for businesses and adults. We do not knowingly collect personal information from children under 13 (or under 16 where state law applies). If you believe a child has given us information, contact us and we will delete it.
10. Visitors outside the United States
We are based in the United States and our Services are intended for U.S. businesses. Information is processed and stored in the United States.
11. Changes to this policy
We may update this Policy from time to time. We will post the new version here with a new "last updated" date and, for significant changes, give clients notice by email.
